[fa icon="plus-square"] Can we bring a guest?

Yes, all employees are invited to bring one guest paid by Practice Better. Your guest's round-trip flight, shared accommodation with the employee, and transfers will be covered by Practice Better.

This is a reminder that this is a work function, so please choose carefully who you decide to bring as your plus one as they reflect you. Your guest should be a spouse, significant other, sibling, or best friend.  It should be someone that is an important part of your life.  

All are invited to bring your children at your own cost.  

Maximum capacity in Hotel’s rooms is: two (2) adults and two (2) children; or three (3)
adults and one (1) child. 

Children from 0 - 4 years old: Complimentary.

Children from 5 - 11 years old: $89 USD per child, per night.

From 12 years old: Full adult rate will apply.

Travel

Practice Better will cover the cost of the employee, along with the cost of one chosen guest’s flight. Flights for any additional guests (children included) are the responsibility of the employee.

If your child is young enough to require a car seat, we recommend bringing your own.  You will also need to organize your own transfers, as the group bus transfers are not car seat safety approved.

Accommodations

Practice Better will pay for the contracted dates of stay for the employee, along with the chosen guest. Practice Better will not pay for a second room, nor will they pay for additional nights before or after the contracted PC dates.  Any children over the age of 4 there will be a surcharge (listed above) charged to the employee at check-in.

Childcare

Childcare will be the responsibility of the employee, whether it be childcare onsite at the hotel, or babysitting services. The resort offers babysitting services with a 24 hour notice.  They also have a great kids club that is complimentary during the day time.  

[fa icon="plus-square"] When must we RSVP by?

All registrations must be received by December 1st. Please make sure your registration is on time to secure your spot on the February trip.

If you do not have your guest information yet but planning on bringing a guest, we recommend waiting until you have full guest information to register.

[fa icon="plus-square"] What are my flight details?

All flights will be booked by Executive Group Travel using your registration form details. A representative from Executive Group Travel will reach out within 72 hours to assist in the flight booking process.

Please keep in mind, you will be flying into the CANCUN International Airport!

The deadline to book flights will be December 4th.

[fa icon="plus-square"] Can I arrive early or extend my trip in Mexico?

Yes all employees can choose to extend their trip in Mexico at their own cost.  Keep in mind if changing the dates leads to any additional airline costs you will be responsible for covering those costs.  You will also be responsible for handling your own airport transfers.  We will provide a preferred partner to help you get them booked.

Please include your extension requests on the registration form.

For those looking to extend at Paradisus the group rate is $470 USD per night double occupancy in the run of house category.  For rooms with children the cost will be higher.  Please keep in mind you may be able to find a cheaper price online and you are able to book personally at the hotel.  Just note you may not be able to stay in the same room for the group dates. 

[fa icon="plus-square"] Can I modify my departing/arrival airport?

Yes, however, if you are traveling to/from a different destination than your home city you will be responsible for any additional flight costs.  If the cost is the same or less than a round-trip flight from your home city, then no additional costs will be incurred.  Please keep in mind you will be flying into the CANCUN (CUN) International Airport.

[fa icon="plus-square"] What happens if I need to change my guest?

If your guest flight is already booked then we will need to work with the airline on options for a new ticket.  Depending on the airline policy there will most likely be a cost involved and you will be asked to cover that personally.

 

[fa icon="plus-square"] What should I pack?

Please try to pack light as we recommend bringing only a carry on per person for the 3 night trip.  The temperatures in Cancun on average in early February are between 73°F and 80°F. We recommending bringing a light jacket for the evenings with the sun goes down. 

A few other helpful items to bring:

  • Valid Passport - your passport must be valid through your departure date for those attending from the US. *Please note that you are responsible to understand the travel requirements to travel to and from your home country. This is NOT the responsibility of Executive Group Travel.*
  • A Credit Card will be required at the time of check in for incidentals
  • Resort Casual attire for employee meetings.
  • Bathing Suit
  • Sunglasses
  • Sunscreen
  • Active Wear for those looking to use the resorts fitness center

This is a casual trip and long pants are not required at any of the restaurants. 

Keep in mind the meeting space will be air conditioned so bring a long sleeve just in case.

Miscellaneous Expenses:

  • Tips: Covered by per diem.
  • Luggage: 1 per FTE can be covered by PB when your flight is booked.
  • Phone Charges: Covered by per diem. We encourage you to use Airalo to keep your costs low!
  • Ground transportation to/from the airport: Covered by PB (Uber)
  • Travel Per Diem:  Practice Better will give everyone USD $100/day per diem for 3 days (USD $300 per diem for the entire trip).  This is for full-time employees only.  You will be given Float Cards to use during the trip.  
  • Please remember- bottles of wine are NOT included as part of the all-inclusive package. Glasses of wine are complimentary. If you choose to upgrade your wine at dinner, we do ask that you cover that personally.
[fa icon="plus-square"] Is airport transportation provided in Mexico?

Yes. When you arrive to Cancun airport, please proceed through customs then pick up luggage and pass through immigration. Please follow signs towards the exit and make sure you completely exit the airport before looking for your transfer. It will be outside the airport, not inside. Please look for the Practice Better sign held by Amstar DMC once you exit the airport. They will be wearing blue Hawaiian shirts and khaki pants.

For your transfer from Paradisus to the Cancun airport, you must check-out from the hotel and meet the Amstar rep in the main lobby. At check out, you will be provided with a hotel checkout card, which you will need to provide to the bellman in order to depart the hotel.

7. Respect for Time: Be punctual for scheduled activities, meetings, and transportation arrangements. Respect colleagues' time and be considerate of schedules.

1.  Download the Trip Plans app that Executive Group Travel sends you, it will be hard to survive this trip without it. It provides everything from hotel confirmation # to flight details to airport transfer information!
